01 · Business platforms and internal systems

Replace manual handoffs with one system that matches the real operation.

Custom administration, CRM, customer portals, quoting, documents, logistics and integrations shaped around the operation as it actually runs.

Brief your project

This is the right move when…

The problem is already visible in daily work.

01

Enquiries, customer history and next actions are split between inboxes, spreadsheets and memory.

02

Quoting, documents, statuses or logistics require the same information to be entered more than once.

03

Off-the-shelf software forces the team to work around the tool instead of supporting the business process.

What gets delivered

Not a specification pack. A working production boundary.

01

Operational map and delivery boundary

The current flow, decision points, roles, data and the first release are written down before engineering begins.

02

A role-based working interface

The team sees the cases, customers, documents and next actions relevant to their responsibility.

03

Connected communication and integrations

Email, documents, payments and external services become part of the workflow instead of separate tabs to reconcile.

04

Production, ownership and handover

Deployment, access, documentation and a practical handover are included in the agreed delivery boundary.

Delivery model

Three explicit decision points.

  1. 01

    Scope

The outcome, risks and first-release boundary are written down.

  2. 02

    Build

Focused engineering with working increments and direct decisions.

  3. 03

    Launch

Production release, verification, documentation and a clear handover.

A 2–4 week engagement targets a clearly bounded, high-leverage first release—not an entire ERP replacement. Larger systems are divided into usable stages with a written roadmap.

Relevant client system

Rubicon: the sales journey and the CRM became one operation.

The public conversion journey continues through quoting, logistics, documents and job tracking instead of ending at form submission.

Common questions

The important boundaries, before the brief.

Do you replace our current CRM?

Only when replacement solves the real constraint. If the existing CRM is useful, I integrate with it and build the missing operational layer around it.

Can existing data be migrated?

Usually, yes. Data quality, source access and validation are reviewed during discovery, then migration is included as an explicit scope item.

Will our team be able to own the system?

Yes. Standard technology, documented access and a defined handover are part of delivery. Continued support is optional, not a lock-in requirement.

How is the project priced?

Most first releases are fixed-scope engagements in the €10k–30k range. If the boundary is not yet clear, a paid discovery comes first and produces the build scope.

Describe what happens today, where time or revenue is lost and what must work differently. The first reply will clarify fit, primary risks and the sensible next step.
